What You Will Do

will also provide high level diverse and confidential administrative support to the Chief Development Officer. The position will oversee all office operations, manage tenant and vendor relationships, and provide leadership in maintaining a productive work environment. This role requires a highly organized individual with strong leadership skills, excellent communication abilities, and a proactive approach to problem-solving. This position will support and live out Immanuel’s Mission and CHRIST Promises.

 

 

Key Areas

Key Responsibilities and Duties of the Job

Executive Leadership Support & Strategic Coordination

 

  • Provide high-level administrative and operational support to executive leadership, managing priorities with professionalism, discretion, and sound judgment.
  • Manage complex calendars, appointments, meetings, conferences, travel arrangements, and executive communications to ensure efficient use of leadership time.
  • Serve as a trusted liaison between executives, internal teams, external partners, and community stakeholders, facilitating timely communication and follow-through on key initiatives.
  • Prepare, research, and coordinate presentations, reports, correspondence, and other executive materials requiring accuracy, analysis, and attention to detail.
  • Coordinate and lead special projects, organizational initiatives, events, and workgroups while monitoring timelines, deliverables, and outcomes.
  • Handle confidential information with the highest degree of integrity, professionalism, and discretion.

Office Operations & Administrative Excellence

 

  • Oversee day-to-day corporate office operations, ensuring a professional, organized, safe, and efficient work environment.
  • Supervise and support the Corporate Office Coordinator, providing direction, training, and performance oversight.
  • Develop, implement, and maintain administrative processes, procedures, and best practices that improve operational effectiveness.
  • Manage electronic and physical recordkeeping systems to ensure compliance, accessibility, and document integrity.
  • Coordinate meeting logistics, conference facilities, office events, catering, and other support services as needed.
  • Provide administrative guidance and backup support across departments to promote collaboration and continuity of operations.

Financial, Vendor & Resource Management

 

  • Administer departmental and office budgets, monitoring expenditures and ensuring responsible stewardship of organizational resources.
  • Process and reconcile invoices, purchasing card expenses, mileage reimbursements, payroll approvals, and other financial documentation in accordance with organizational guidelines.
  • Manage office supplies, equipment, and inventory to ensure business needs are met efficiently and cost-effectively.
  • Establish and maintain productive relationships with vendors, service providers, and contractors, including contract review, negotiation, and service coordination.
  • Generate, maintain, and analyze reports from multiple systems to support decision-making and operational needs.

Employee Engagement, Culture & Organizational Effectiveness

 

  • Partner with Human Resources and leadership to support onboarding initiatives and foster a welcoming, mission-driven employee experience.
  • Lead and coordinate employee engagement activities, recognition efforts, team-building events, and workplace celebrations that strengthen organizational culture.
  • Develop and deliver professional communications that inform, engage, and connect employees across the organization.
  • Serve on and lead committees, cross-functional teams, and organizational initiatives focused on collaboration, process improvement, and employee experience.
  • Promote and reinforce organizational values, culture, and strategic priorities through meaningful employee interactions and programs.

Facilities, Tenant Relations & Workplace Management

 

  • Oversee corporate office facilities operations, ensuring building functionality, safety, appearance, and overall employee experience.
  • Serve as the primary contact with property management, tenants, vendors, and contractors regarding maintenance, repairs, improvements, and facility-related concerns.
  • Manage tenant relationships, lease administration activities, and ongoing communications to maintain positive partnerships and resolve issues promptly.
  • Coordinate building safety, security, access controls, key management, and emergency response procedures.
  • Collaborate with facilities, technology, and service partners to support preventative maintenance, space planning, workplace improvements, and infrastructure needs.
  • Provide oversight and support for additional office locations as assigned.

Skills & Requirements

Education-

  • Bachelor’s degree in business administration or related field is preferred.
  • Equivalent years of experience may substitute for education requirement.

Experience-

  • Five (5) years of general office administration experience is preferred.
  • Five (5) years of executive level support experience is preferred.
  • Two (2) years of supervision experience is preferred.
  • Equivalent years of education may substitute for experience requirement.

KSA- Knowledge Skills and Abilities-

  • Knowledge of executive administrative practices, office management principles, and business operations.

Knowledge of general office procedures, records management, and office equipment operation.

  • Knowledge of budgeting, expense management, purchasing processes, and vendor relations.
  • Knowledge of employee engagement initiatives, event coordination, and workplace culture practices.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other business and office management software.
  • Knowledge of confidentiality requirements and handling sensitive organizational and employee information.
  • Exceptional verbal and written communication skills with the ability to communicate effectively across all levels of the organization.
  • Strong interpersonal skills with the ability to build relationships, foster collaboration, and provide outstanding customer service.
  • Effective leadership and team coordination skills, including the ability to delegate, prioritize, and communicate expectations clearly.
  • Advanced organizational and project management skills with the ability to manage multiple priorities and deadlines simultaneously.
