    Purpose of the Job:

    The overall purpose of this job is to provide a variety of clerical support activities. The primary responsibilities of this job include managing incoming calls, maintenance of clinical records, filing sending out and tracking of physicians’ orders, staff scheduling and special projects. Supports and lives out Immanuel’s Mission and CHRIST Promises.

    Key Responsibilities and Duties of the Job

    Clinical Reimbursement

    • Processes all team information and required documentation; reviews for required elements; initiates and maintains appropriate records and files per policy. Accurately transcribes and transmits physician's orders if needed. Maintains patient medical records under the supervision of a registered nurse. Understands and uses medical terminology in order completion and record maintenance.
    • Recognizes and responds to priorities in the patient care process; exercises good judgement in completing work duties; coordinates work to achieve maximum productivity and efficiency during the assigned shift; follows-up on matters requiring additional attention or reports exceptions to the appropriate person. Responds appropriately in emergency situations.
    • When assigned, accurately documents vital signs, intake and output, allergies, and other patient information as defined on the patient medical record in a timely manner.
    • Maintains appropriate stock and equipment inventories if needed and appropriately charges/credits for items used.
    • Assists in the coordination of patient admissions, transfers, and discharges to provide for a smooth operation and efficient flow pattern.
    • Assists in the transportation of patients for discharge and transfers as needed.
    • Assists with staff scheduling as needed and billing for same if needed.
    • Maintains a safe, clean, attractive, organized, and well-repaired work environment that is conducive to an orderly and efficient workflow.
    • Authorized to make entries in the medical record, consistent with and limited to the scope of the job duties and any applicable licensure.

    Communication

    • Receives, greets, screens, and directs patients, physicians, visitors, and hospital personnel, and provides accurate responses in a friendly, helpful, and courteous manner. Notifies the appropriate nurse when a physician arrives.
    • Answers the telephone in a prompt and courteous manner. Sets priorities for response and communicates with the appropriate personnel, assuring confidentiality.
    • Schedules patient tests/procedures in a proficient and timely manner. Utilizes a computer to input data and retrieve information.
    • Participates in all safety, security and infection control programs that are mandatory as well as those required and provided by the department.       

    Other

    • Performs additional clerical functions and related duties as appropriate to include but not limited to: filing, maintaining statistics and patient logs, generating reports, typing, maintaining records, recording meeting minutes and running errands.

    Qualifications

    Education-

    • High School diploma or equivalent required.
    • Advanced secretarial training to include completion of a medical terminology course required.

    Experience-

    • Minimum of one (1) year of clerical work experience or related experience in a health care field or setting.
    • One (1) year of entry level computer experience is required.
    • Equivalent years of education may substitute for experience requirement.

    KSA- Knowledge Skills and Abilities-

    • Demonstrates knowledge of automated data processing systems and their application for communication and data management (i.e. EMR, Microsoft Word, Excel, Outlook, and PowerPoint).
    • Ability to interact with a wide variety of employees and to work independently in accomplishing assignments and goals.
