What You Will Do

The Lead Clinic Scheduler is responsible for monitoring and coordinating the scheduling of Contracted Service appointments for participants in an efficient and timely manner. This role involves leading the scheduling staff, managing appointment schedules, and ensuring smooth interaction between participants, office staff, and outside Contracted Vendors. The Lead Clinic Scheduler supports Immanuel’s Mission and CHRIST Promises by ensuring accurate scheduling and exceptional service.

Key Responsibilities and Duties of the Job

Leadership and Staff Guidance (40%)

  • Lead and support scheduling staff in scheduling participant appointments for medical procedures, specialist visits, and diagnostic testing with contracted vendors.
  • Develop a comprehensive understanding of the contracted vendor network, including their services, protocols, and operational procedures.
  • Establish and nurture positive working relationships with key contacts with contracted vendors. Actively engage with vendors to foster strong partnerships, addressing any concerns, and facilitate smooth communication and collaboration.
  • Oversee all aspects of procedure scheduling, ensuring adherence to standard protocols and regulatory requirements for scheduling.
  • Review daily reports to maintain compliance of timely coordination to ensure all appointments are promptly scheduled and within established timeframes.
  • Collect and confirm patient demographic information, ensuring accurate data entry into the scheduling system.
  • Manage authorization processes and provide authorization numbers to contracted vendors, including any out-of-network requests.
  • Identify opportunities to improve scheduling processes and participate in Quality Improvement Initiatives. Continuously evaluate and enhance scheduling procedures to maintain or improve the speed and accuracy of coordinating appointments.
  • Monitor scheduling workflows to identify inefficiencies, bottlenecks, or reoccurring issues. Proactively communicate these findings to senior leadership, providing detailed observations and potential impact on clinic operations.
  • Collaborate with senior leadership and other key stakeholders to develop am implement strategies and processes to address identified inefficiencies.
  • Provide feedback on the effectiveness of new process changes and improvement to maintain continuous improvement.
  • Ensure high quality service that provides excellent customer service to our participants. Ability to provide timely service recovery.
  • Attend and proactively participate in meetings requiring insights and feedback related to scheduling practices.
  • Provide updates on scheduling performance and collaborate with team members and stakeholders to address opportunities for enhancement.

Scheduling & Communication (40%)

  • Provide cross coverage for scheduling to maintain the timeliness of appointment coordination.
  • Collaborate with Immanuel’s Transportation department to arrange suitable appointment times for participants.
  • Confirm and communicate appointment schedules to participants, family members, and doctor's offices, resolving any conflicts or issues related to appointments.
  • Coordinate with clinic teams for participant needs related to inpatient and outpatient procedures.
  • Print and distribute appointment reminder notifications. Contact participants or family members at least one day prior to appointments to provide reminders.
  • Maintain professionalism and confidentiality in all interactions with participants, families, and team members.

Record Keeping (15%)

  • Utilize computerized scheduling systems to manage appointments efficiently. Perform data entry, block scheduling, and maintain accurate records.
  • Ensure all necessary medical records and paperwork are prepared and sent with participants for their appointments.

Compliance (5%)

  • Adhere to departmental and organizational policies, procedures, and objectives, including safety, security, and infection control programs.
  • Follow all Immanuel Pathways policies, OSHA safety guidelines, and maintain confidentiality and professionalism in all aspects of work.

Other Responsibilities

  • Perform additional duties as assigned or requested to support the clinic’s operations and mission.

Skills & Requirements

Education-

  • High School Diploma/GED is required.
  • Post high school Associate’s degree or certification preferred, desired in a healthcare related field.

Experience-

  • One (1) year of clinical scheduling or related experience is required.
  • One (1) year of experience working with the frail or elderly population required, or completion of job specific training related to working with the elderly population must be completed within the first six months of hire.
  • One (1) year of supervisory or leadership experience is preferred.
  • Two (2) years in an administrative job, preferably in the healthcare industry.
  • Equivalent years of education may substitute for experience requirement.

 Other Requirements–

  • Must have medical clearance for communicable diseases and up-to-date immunizations before having participant contact.
  • Skilled in utilizing software applications.
  • Ability to apply and adapt skills and knowledge acquired through training and development opportunities.
  • Basic Life Support (BLS) Skills i.e. Health Care Level Cardiopulmonary resuscitation (CPR); Automated External Defibrillator (AED); First Aide (FA).
